Yodha Clinical Evaluation System

Command decision-support system for regimental manpower auditing, medical grading, and risk triage

Overview & Scope

Developed the Yodha Clinical Evaluation System to act as a secure, offline-first command decision-support platform for regimental administrators and commanders. Built using Microsoft Access and VBA, the database replaces manual files with automated health tracking, physical efficiency ratings, and psychological triage modules.

Command Decision-Support & Readiness Auditing

Designed specifically to fit the operational requirements of a military regiment, the database operates on a split Front-End/Back-End architecture to isolate sensitive patient medical records. It allows Battery Commanders, Subedar Majors, and Commanding Officers to audit troop readiness using several vectors:

  • Manpower Compliance Auditing: Visual dashboards track complete and incomplete profiles across batteries (HQ, P, Q, and R), helping administrators maintain 100% screening compliance.
  • Low Medical Category (LMC) Tracking: Automates the listing of medically downgraded personnel, assisting in task allocation to ensure downgraded soldiers are not assigned to field duties or high-altitude environments.
  • Decision-Support & Risk Flags: Runs real-time comparisons of physical proficiency tests (BPET/PPT) and clinical tests (BMI, cholesterol) against risk parameters. This alerts commanders to cautionary (Orange Flag) or high-risk (Red Flag) statuses automatically.
  • Motivation-Capability Performance Quadrants: Categorizes personnel according to motivation and capability indexes to flag psychological vulnerabilities (such as highly capable but low-motivation soldiers) for proactive leadership counseling.

Regimental Workflow Integration

To maintain strict accountability, the system enforces a multi-tier chain-of-command sign-off protocol. Baseline screenings entered by Data Operators are reviewed for physical and discipline checks by the Subedar Major before final deployment approval and sign-off by the Battery Commander.

Core Deliverables

  • Regimental Subunit Auditing to track data compliance and entry progress across batteries (P, Q, R, HQ).
  • Low Medical Category (LMC) tracking to ensure downgraded personnel are correctly allocated to non-combat roles.
  • Automated Red/Orange Flag Logic calculating thresholds for BMI, cholesterol, physical capability, and morale.
  • Performance Quadrant Analysis mapping personnel by motivation and capability to identify high-risk profiles.
  • Multi-Tier Sign-Off Workflow linking Data Operators, Subedar Majors, and Battery Commanders for accountability.
